Some SOPs we handle in-house, and for others we work with a well-known SOP company that helps small and medium-sized businesses document their processes. Once documented, processes are not only clear but also efficient and aligned with best practices. After that, we move on to automation.

We follow a simple rule to decide if a task is worth automating and how to prioritize it. We ask three questions: How many people are involved in the task? How frequently does it happen? How much does it cost to do? These three questions give us clarity on which processes should be automated first.

It’s hard to give a general answer without context. Typically, we analyze a process by asking how often it happens, how many people are involved, and how much it costs to execute. But we also consider the cost of an error. For example, we worked on a project with a large chemical company where errors in shipping documents (misloads) could result in dangerous outcomes. Sending the wrong type of chlorine to a public pool, for instance, could be hazardous. In that case, automation prevented costly errors, improved safety, and protected reputation. Savings are not only about time and money—they can also be about safety and responsibility.

Automation can break, but much less often than humans make mistakes. The key is building automations using best practices and professional coding standards.
