It depends on the size of your addressable market more than on your revenue. Picture five people whose only job is finding new customers. If they could work through every potential buyer in a few months, a CRM will not earn back its license fee no matter how good the software is. If that same pool would keep five people busy for years without running dry, and customers keep cycling back into it, that is where a CRM, and the structure to use it, starts paying for itself. The audit tells you which side of that line you are on before you spend a cent.

Often a fix costs less than a rebuild, and the software is rarely the real problem. Most of the time a CRM goes unused because the roles around it, who prospects, who closes, who owns the account after that, were never actually agreed on. For businesses running a full prospecting-to-account-management structure, we most often land on Salesforce for the closing and account-management side, because it flexes to fit almost any process. For prospecting and outreach specifically, Salesforce is genuinely weak, so we pair it with a dedicated outreach tool instead. Pipedrive and Attio also come up for leaner setups. If your situation calls for something else, we say so, even when it means recommending a platform we do not get paid to implement. Two we do not recommend: Zoho and Microsoft Dynamics.

AI is genuinely good at narrow, repeatable tasks: drafting a first pass at an email, enriching a contact record, summarizing a call. It is not a substitute for the structure around it. The same research that put a number on this found that 95% of enterprise AI pilots show no measurable financial return, for the same reason more CRM rollouts fail than succeed: nobody checked whether the structure was ready for the tool before they bought it.
